Application enhancements

Totals and quantity factboxes on subcontractor statements

New factboxes show statement totals and summarize quantities per unit of measure, so it is easier to validate what is included before creating documents.

Description on subcontractor statements

Subcontractor statements now include an optional Description field that helps you distinguish between multiple statements for the same subcontractor in lists and on purchase invoices. For batch-created statements, the description is generated from the exact project ledger entry filters used during creation.

Improved approval actions for subcontractor statements

Subcontractor statement statuses are no longer changed directly in the header, and are now controlled through Approve, Reopen, and Close actions. These actions are available from the statement card and list and follow the same rules as before.

Send subcontractor statements by email

There is a new function Email Subcontractor Statements that lets you send subcontractor statement(s) directly to the subcontractor from the statement pages and lists. The system also tracks the Last Emailed Date/Time on the statement, so you can see when it was last sent.

Split subcontractor statements by Project or Project Manager

You can now use Create Subcontractor Statements to generate statements split by Project or by Project Manager, making batch creation easier to review and reducing manual work. A new setup controls whether the Project Manager is taken from the Project or the Project Task, ensuring the split is based on the correct value. Once a statement is created for a specific Project or Project Manager, you can only add entries that match that same Project/Project Manager.

Self-billing: Negative statements create Purchase Credit Memos

Self-billing now handles negative subcontractor statements correctly by creating a Purchase Credit Memo instead of a Purchase Invoice. This prevents invalid negative invoices and aligns the posted document with the statement total.

Application enhancements

Easier deletion of open statements

Users can now delete subcontractor statements that were created by mistake even if they contain lines. If a statement is still in Open status, it can be deleted directly. Any related lines are automatically removed and released for reuse on another statement. Approved or closed statements remain protected and cannot be deleted, ensuring data integrity and auditability.

Manual closing and reopening of statements without invoices

Users can now manually close subcontractor statements that are not linked to any invoice, such as those totaling zero or not requiring payment. These statements can also be reopened if needed. Statements connected to invoices remain locked from manual closing or reopening.

Added Set Included and Clear Included actions on the Select Project Ledger Entries page

Two new actions have been added to the Select Project Ledger Entries page. Set Included marks the selected rows as included, while Clear Included removes the included flag from the selected rows. These actions make it easier to update multiple entries at the same time.

Application enhancements

Batch creation of statements

Self-billing invoice creation now checks for a valid self-billing agreement when enabled in setup. If the vendor’s agreement end date is expired, the system prompts the user before proceeding. This ensures compliance with tax regulations where self-billing agreements are required.

Self-billing agreements

A new batch action allows automatic creation of subcontractor statements for all vendors with project usage in a selected period. This streamlines the process, reduces manual effort, and supports optional creation of empty statements. Duplicate statements for the same period and vendor are automatically skipped.

Retroactively update existing project ledger entries with subcontract vendor

When a subcontractor vendor number is added to a resource, the system now prompts to update existing project ledger entries. If confirmed, only entries not linked to a statement are updated for accurate tracking.

Warning when posting a purchase invoice with partial match

When posting a purchase invoice linked to a subcontractor statement, users will now see a warning if the statement match status is Partial Match. This helps prevent unintentional posting of invoices that are not in balance, without blocking the process.

Separate page for closed statements

A new dedicated page has been introduced to manage closed subcontractor statements. This page provides a clear overview and allows for easier tracking and management of these statements.

From the subcontractor statement, users can now open the related project ledger entries for deeper insight and easier validation of the source data.
